How do I get all my data out of Winnows?

Every record you put into Winnows comes back out as CSV, at any time, without asking anyone. Export stays available for 90 days after you cancel, which is written down as an exit guarantee rather than left to goodwill.

What transfers

What transfers, and what does not
WhatComes acrossDetail
Time entriesYesEvery entry with its date, person, client, project, task, notes, minutes, billability and computed amount.
Clients, projects and tasksYesIncluding archived ones, with their codes.
People and project assignmentsYesWho was on the team and on which projects.
Bill rates, with their effective datesYesThe rate history, not just the current rate, so past invoices can be reproduced.
Approval and submission stateYesWhich weeks were submitted, approved, and by whom.
Invoicing runsYesWhat was billed, for which period, and where it was pushed.

How to do it

  1. Open Reports. Every report on screen is exportable as CSV for the range and filters you are looking at, so the export matches what you just checked.
  2. Export the full period. Widen the range to cover everything and export. The file is full fidelity, not a summary, and money is computed the same way the reports compute it.
  3. Keep the rate history. Export rates as well as entries. Hours without the rates that applied to them cannot reproduce an invoice.
  4. If you are leaving, do this before you cancel. Export access continues for 90 days after cancellation, but doing it first means you never have to rely on that.

Why this guide exists

We tell people to ask every vendor how they would get their data back before they sign up, so it would be poor form not to answer it ourselves, in public, without a sales conversation. That is the whole reason this page is here.

The test to apply to any tool, including this one: can you export everything yourself, right now, without asking anyone, and does the export include the rate history rather than just the hours? The exit test is the longer version of that question.

Limits, stated plainly

Export is CSV, not a database dump. It is full fidelity in the sense that no row is summarised away and no column is withheld, but it is tabular. If you need it shaped differently, the read-only API returns the same records.

Hours without rates cannot reproduce an invoice. This is the mistake people make when leaving any time tracker. Export the rate history alongside the entries, or a year from now you will have the hours and no way to price them.

Ninety days is the floor, not a target. Export access continues for 90 days after you cancel. Use it as insurance rather than a plan, and take your export before you cancel.

What we will not do

Charge for export, cap the rows, put it behind a plan tier, or make you contact support to get it. Those practices are the reason the exit guarantee is written down rather than implied.
Read the exit guaranteeTwo paragraphs. No plan names, no exceptions.

Questions people ask

Is there an export limit or a paid tier for it?
No. Full-fidelity export is on every plan including the free one, and there is no row cap. Charging to get your own data back is the practice the exit guarantee exists to rule out.
How long do I keep access after cancelling?
90 days. The exit guarantee says so in two paragraphs with no plan names and no exceptions.
