Harvest Flex or Unlimited? Run Harvest's own usage simulation before your renewal

Harvest bills every paid plan one of two ways. Flex is a seat price plus usage charges. Unlimited is a fixed price. The usage rates aren't on the pricing page, and neither is the Unlimited price. Both are inside your account, next to a tool that lets you model changes before you commit. This post covers what Harvest's help center says about the two options, why a new account doesn't see usage on its first bill, and how to run the simulation so the answer is one you can act on.

What Harvest says the two options are

Harvest's help article "Information about pricing plans" says: "Harvest has two plans — Teams and Enterprise — each billed as Flex (usage-based) or Unlimited (fixed price)."

On Flex, the article says: "With Flex you pay a per-seat rate plus usage-based charges calculated on your prior billing period's activity." It names what counts as usage: "active projects, active clients, active tasks, and invoicing."

The article also says which items count and how much usage is free.

  • What counts: "Only items with time tracked in the period count — archived, deleted, or untouched items don't."
  • What is free: "Each plan includes a free usage allowance, and you're only charged for usage above it." The article gives no number for the allowance.

On Unlimited, the article says: "If you'd prefer a predictable flat cost with no usage charges, switch to Unlimited billing." Elsewhere on the same page it describes Unlimited as "a fixed usage fee." It doesn't give the amount. It says where to find it: "The exact price for your account and seat count is always shown in Settings > Billing before you confirm any change."

Harvest's pricing page lists the seat prices: Teams from $9 a seat a month billed annually or $11 billed monthly, Enterprise from $14 or $17.50. About usage it says: "As your team grows, additional invoices, projects, clients, and tasks are billed based on what you use." There are no rates on that page, and the words Flex and Unlimited aren't on it.

Why the first bill tells you nothing

The help article has a question in its own words: "Why is my second bill higher than my first?" The answer comes in three parts.

  • "On Flex billing your first (sign-up) invoice usually covers seats only, because no projects, tasks, clients, or invoices have been tracked yet."
  • "Usage-based charges are calculated from the previous billing period"
  • "This is why a bill can jump (e.g. from a seats-only $44 to $404 once usage is added)."

That is Harvest's own example. The usage part is $404 minus $44, which is $360. That is a little over eight times the seat part, and the whole bill is a little over nine times the first one. Harvest doesn't say how many seats the example has. Four Teams seats at the monthly price of $11 come to $44.

Higher up, the same article says: "For new accounts, usage-based charges begin at your second paid renewal."

So Flex bills look backward. What you track in one period is charged in a later one. The article says "second bill" in one place and "second paid renewal" in another, and it doesn't say how the period works for an account on a yearly cycle. If you are new, don't guess which bill it lands on. Read the date in your own account.

Keep this in mind if you are on a trial. You can use Harvest for a full period, pay a seats-only bill, and decide the price is fine. The seat price was only ever part of it.

Where the simulation is

The article says: "You can view current usage and projected charges, and model changes, in Settings → Billing (My usage billing / Compare subscription options → Simulate usage changes)."

Harvest doesn't call it a simulator. The label is "Simulate usage changes," and it sits under "Compare subscription options." The article also says "Managers and Members don't have access to Settings." So an Administrator has to do this.

We haven't seen these screens from inside a paying account, so what follows is what to bring and what to write down, not a click-by-click.

How to run it

  • Start in My usage billing. The article says: "To see the exact breakdown at any time, go to Settings → Billing → My usage billing." Write down the counts Harvest has for active projects, active clients, active tasks and invoicing, and the charge against each.
  • Check the counts against your own. Harvest's rule is time tracked in the period. A project nobody logged time to shouldn't be in the count.
  • Open Compare subscription options and write down the Unlimited price for your account and seat count. This is the only place it is shown.
  • Use Simulate usage changes with your busiest period, not your last one. Count the projects, clients and tasks that had time tracked in your heaviest month of the past year, and the invoices you sent.
  • Run it again with the seats you expect at renewal.
  • Check the plan and the billing cycle on each result. Of the checkout screen after a trial, the article says: "This screen pre-selects Enterprise + Annual by default."

You now have three numbers: Flex at your current usage, Flex at your busiest, and Unlimited. Multiply your seats by the published seat price to get a fourth, the seats-only floor. The gap between the floor and each of the other three is what usage costs you.

Flex or Unlimited

Compare the two Flex numbers with the Unlimited price.

  • If Flex at your busiest period is below the Unlimited price, Flex costs less, and the bill will change from period to period with your usage.
  • If Flex at your current usage is already above the Unlimited price, Unlimited costs less.
  • If the Unlimited price sits between the two, you are choosing between a lower average and a bill you can predict. Count how many periods a year look like the busy one.

The help article leaves some things out. It doesn't say when a switch between Flex and Unlimited takes effect, or whether you can switch back mid-term. It doesn't say whether the Unlimited price is fixed for longer than the current term. Ask Harvest those in writing before you confirm. Our post on renewals has the full list of questions to ask.

If the usage part is the surprise, Harvest's usage fees, explained line by line covers how to read it off a renewal notice. If you decide to leave, do the exports first: how to export everything from Harvest before your renewal.

The number to compare it with

Winnows charges $9 per active member per month. There is no charge per project, client, task or invoice, so there is no usage line and nothing to simulate. Our calculator does the seat arithmetic for both sides. It names Harvest's usage fees and doesn't guess them, because the rates aren't public. The figure from Harvest's own simulation is the one to put next to it.
